How AIRDM Ltd collects, uses and protects personal information provided through this website.
About this document
This is a first draft prepared for AIRDM Ltd and written for a UK business under the UK GDPR and the Data Protection Act 2018. Items shown in square brackets are company details still to be confirmed. The document should be reviewed by a qualified adviser before publication.
01 Introduction
This privacy policy explains how AIRDM Ltd collects and uses personal information when you visit this website, submit an enquiry, or otherwise correspond with us about helicopter charter.
We are committed to protecting your privacy and to handling your information carefully, lawfully and transparently. This policy sets out what we collect, why we collect it, how long we keep it and the rights available to you under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
By using this website you accept the practices described in this policy. If you do not agree with it, please do not use the website or submit an enquiry to us.
02 Who we are
AIRDM Ltd is a boutique helicopter charter company registered in England and Wales under company number 14476168, with its registered office at Air DM Ltd, Windsor House, Bayshill Road, Cheltenham, Gloucestershire, GL50 3AT.
For the purposes of data protection law, AIRDM Ltd is the data controller for personal information collected through this website. This means we decide why and how your personal information is processed.
Questions about this policy, or about how we handle personal information, can be sent to hello@airdm.co.uk or to the postal address above.
03 Information we collect
Information you give us. When you complete the enquiry form, email us or speak to us by telephone, we may collect your name, email address, telephone number, preferred travel dates, departure and destination locations, passenger numbers, journey type and any additional information you choose to provide about your requirements.
Information we collect automatically. When you visit the website, our hosting provider and analytics tools may record technical information such as your IP address, browser type and version, device type, operating system, referring page, the pages you view and the dates and times of your visits. Where this information can identify you, it is treated as personal data.
We do not knowingly collect information from children, and we do not ask for special category data such as health information. If details of this kind are relevant to a flight — for example reduced mobility or dietary requirements — please share only what is necessary for us to plan safely.
04 Contact and enquiry forms
Information submitted through the enquiry form is sent to AIRDM's charter team so that we can understand your requirements, check availability and respond with a proposal. It is not used to add you to a marketing list unless you have asked us to keep you informed.
Enquiry submissions may pass through the website's hosting and form-handling infrastructure in transit. Access to enquiry correspondence within AIRDM is limited to those who need it to prepare a quotation or operate a flight.
Where an enquiry does not lead to a booking, we retain the correspondence for a limited period so that we can respond helpfully if you contact us again, after which it is deleted. See Data retention below.
05 Cookies
This website uses cookies and similar technologies. Strictly necessary cookies are used to deliver the site and keep it secure; other categories are set only where you have given consent through the cookie banner.
You can change or withdraw your cookie preferences at any time. Full detail on the categories used, their purpose and their duration is set out in our cookie policy.
06 Analytics
Where analytics are enabled, we use them to understand how visitors find and use the website — for example which pages are viewed most often — so that we can improve its structure and content.
Analytics cookies are set only with your consent. Analytics data is used in aggregate and we do not use it to build marketing profiles or to make decisions about individuals.
The analytics provider currently in use is [analytics provider]. Where that provider processes data on our behalf, it does so under a data processing agreement.
07 How we use information
We use personal information to respond to enquiries and provide quotations; to plan, arrange and operate charter flights; to communicate with you before, during and after a flight; to keep records of our correspondence and transactions; to maintain the security and performance of this website; and to comply with our legal and regulatory obligations.
We will send you marketing communications only where you have asked to receive them, or where you are an existing client and the communication concerns similar services. Every marketing message includes a simple way to opt out.
We do not sell personal information, and we do not share it with third parties for their own marketing purposes.
08 Lawful basis for processing
Contract. Where you ask us to prepare a quotation or arrange a flight, we process your information because it is necessary to take steps at your request before entering into a contract, and to perform that contract.
Legitimate interests. We process limited information to run and secure our website, to keep records of enquiries and correspondence, and to improve the service we offer. We balance these interests against your rights and only rely on this basis where the processing is proportionate.
Consent. Non-essential cookies and any marketing communications rely on your consent, which you may withdraw at any time without affecting the lawfulness of processing carried out beforehand.
Legal obligation. We process and retain certain information where we are required to do so by law, including in relation to accounting, taxation and aviation-related record keeping.
09 Data retention
We keep personal information only for as long as it is needed for the purpose it was collected for, or for as long as the law requires.
Enquiries that do not result in a booking are ordinarily retained for [retention period, e.g. 24 months] from the last contact. Records relating to flights we have operated, including correspondence and financial records, are retained for [retention period, e.g. 6 years] in line with statutory accounting requirements.
Website analytics data is retained for the period configured with the analytics provider. When information is no longer needed, it is securely deleted or anonymised.
10 Third-party services
We use a small number of carefully selected suppliers to operate our business. These may include website hosting and infrastructure providers, email and office software providers, analytics providers, and professional advisers such as accountants.
Where a flight requires it, we may also share necessary details — such as passenger names and numbers — with airfields, landing site owners, handling agents or other operational partners so that the flight can be arranged safely and lawfully.
Suppliers acting on our behalf are permitted to process personal information only on our instructions and under a written agreement that requires appropriate security measures. Where information is transferred outside the UK, we ensure an appropriate safeguard is in place, such as UK adequacy regulations or the International Data Transfer Addendum.
11 Data security
We take appropriate technical and organisational measures to protect personal information against loss, misuse, unauthorised access, alteration and disclosure. These include encrypted connections to this website, access controls, and limiting access to information to those who need it.
No transmission of information over the internet can be guaranteed to be completely secure. While we take care to protect your information, any information you send us is sent at your own risk.
If a personal data breach occurs that is likely to result in a risk to your rights and freedoms, we will notify the Information Commissioner's Office and, where required, affected individuals without undue delay.
12 Your rights
Under UK data protection law you have the right to be informed about how your information is used; to request a copy of the personal information we hold about you; to have inaccurate information corrected; to request erasure in certain circumstances; to restrict or object to processing; to data portability; and to withdraw consent where processing is based on consent.
You also have the right not to be subject to solely automated decision-making that produces legal or similarly significant effects. We do not carry out automated decision-making of this kind.
To exercise any of these rights, contact us at hello@airdm.co.uk. We will respond within one month of receiving your request. We may ask you to verify your identity before we release information, and in limited cases the period may be extended, in which case we will tell you why.
13 Complaints to the ICO
If you are unhappy with how we have handled your personal information, please contact us first so that we can try to put things right.
You also have the right to complain to the Information Commissioner's Office, the UK supervisory authority for data protection. The ICO can be contacted at Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF, by telephone on 0303 123 1113, or through ico.org.uk.
Making a complaint to the ICO does not affect any other legal remedy available to you.
14 Changes to this policy
We may update this policy from time to time to reflect changes in our practices, our suppliers, or the law. The date of the most recent review is shown at the end of this page.
Where changes are significant, we will draw attention to them on this website.
